Organize product and employee documents

Keep files connected to their business records, with workspaces and access appropriate to each audience.

Before you start

Documents integration must be enabled for the company. Check the employee workspace and product workspace/default tags in Documents settings.

Step by step

1. Add and classify the file

Open Documents, choose the intended workspace and upload the file or use the configured document request. Set a useful name, owner, contact and tags. Check the related record rather than relying only on the filename to identify the employee or product.

2. Find documents from the record

On an employee, open the Documents counter to inspect linked files with the appropriate HR permissions. For product attachments, check that they are collected in the configured product workspace. Apply filters or tags to separate specifications, commercial documents and supporting records.

3. Share, revise and archive

Review workspace access and the exact files selected before creating a share link or sending a request. Use the document actions for the intended workflow and retain the correct business link when replacing a file. Archive obsolete documents according to the company procedure, preserving records that must remain available.

Expected result

Users can locate the correct file from its workspace or related employee/product, with reviewed access.

If something goes wrong

For a missing file, check company integration, related record, workspace filters and archive status. A file appearing in a workspace does not mean all employees should have access to it. Review existing share links when changing document access.
