Maintain employee records, contracts and absences¶
Keep the data used by payroll, work scheduling and employee cost calculations consistent.
Before you start¶
Have HR access and approved employee and contract information. Personal and payroll data require the appropriate restricted profile.
Step by step¶
1. Review the employee¶
In Employees, create or open the employee. Check company, department, manager, work contact, private identification and Brazilian payroll fields. Review relatives and the payroll-dependent counts separately: registering a relative alone does not prove that every payroll field is filled correctly.
2. Maintain the effective contract¶
Open the contract and review start/end dates, state, salary, working schedule and salary structure. Check applicable Brazilian contract fields and approved additions. Maintain hourly cost for cost analysis with its responsible owner; salary and hourly analytic cost serve different calculations.
3. Request and approve absence¶
In Time Off, choose the correct type and review available allocation, requested dates and working calendar. Submit the request; the approver checks overlapping leave and team coverage before approving or refusing it. Use the overview/calendar to plan work with approved absences.
4. Review changes before payroll¶
Before each payroll period, reconcile effective contracts, approved absences and payroll inputs. On departure, review open tasks, document access and contract end date before archiving the employee. Preserve historical payroll records.
Expected result¶
Employee, contract and absence data are consistent for planning and payroll review.
If something goes wrong¶
For a missing contract or unexpected absence duration, check company, dates, contract state, allocation and working calendar. Do not resolve a payroll discrepancy by changing historical contracts without reviewing the affected periods.
