Deliver and invoice a Brazilian sale

Continue from an accepted sales order through delivery, invoicing and checking the linked fiscal document. The sequence depends on the product’s invoicing policy and the company’s operating procedure.

Before you start

Check the confirmed order, customer addresses, approved fiscal operation and payment terms. Know whether invoicing is based on ordered or delivered quantities and whether an advance has already been invoiced.

Step by step

1. Check the delivery

From the order, open the Delivery smart button. Check items, quantities, source and destination locations and any lots or serial numbers. Enter only the quantities actually handled. Validate according to the warehouse procedure and review the backorder for remaining quantities.

2. Create the invoice

Return to the order and choose Create Invoice. For a regular invoice, check invoiceable quantities and deduction of previous advances. Review the customer, date, currency, prices, fiscal operation and payment terms before confirming.

3. Check the fiscal and financial results

Open the fiscal document associated with the invoice. Check model, series, partner, items and electronic status. Separately check the receivable installments and their due dates. Follow the NF-e procedure when authorization is required; a posted invoice alone does not prove authorization.

Expected result

The order, delivery, invoice, fiscal document and receivable installments can be traced to the same business transaction.

If something goes wrong

If there is nothing to invoice, check the invoicing policy, delivered quantities, existing invoices and fiscal operation on the lines. For a partial delivery, keep the outstanding balance visible. Resolve a fiscal rejection before treating the sale as fully invoiced and authorized.
