Prepare and check a SPED file

Generate a working file from reviewed data, compare its totals and validate it with the appropriate validator before the company’s filing procedure.

Before you start

Confirm the obligation, layout supported by the deployed module, company and period with the fiscal team. The demo’s supplied files are fixtures, not evidence that the current database generated them. Its ECD example is an auxiliary ledger; ECF and several EFD records have documented gaps and require separate implementation review.

Step by step

1. Finish the source review

Review fiscal documents, accounting entries, products and stock data for the period. Close the reviewed assessments before populating EFD assessment blocks: this implementation reads closed assessments for those blocks.

2. Create and populate the declaration

Open the corresponding SPED declaration and choose the company, exact period and required identification fields. Keep the declaration Debug option disabled for operational generation. In Draft, use Pull Registers from Odoo. Review document counts, blocks and totals against the source data. After review, choose Set to Done, then Generate SPED File and download the text file.

3. Validate and reconcile

Import the file into the validator for the supported obligation and layout. Investigate structural and business errors, reconcile totals with the reviewed assessment and accounting, and regenerate from corrected source data. Retain the generated file, validation result and review record; filing and its receipt are a subsequent controlled step.

Expected result

A generated and reviewed working file, with validation evidence and known coverage limitations identified. File generation alone is not proof of filing or complete tax compliance.

If something goes wrong

Missing assessment blocks: check closed status, company and period. Missing records: confirm that the deployed module implements them instead of assuming an empty block is correct. For historical stock valuation, verify that the implementation uses the required period values before accepting totals.
