Sending to Multiple Signers

Configure the signing order: sequential (signer A signs before B) or parallel (everyone signs at the same time). Support for external signers with no account in Odoo.

Dynamic Fields and Forms

Does the electronic signature in Odoo Sign have legal validity in Brazil?

Yes. Simple and advanced electronic signatures have legal validity in Brazil based on Provisional Measure 2.200-2/2001, which recognizes the validity of electronic signatures as long as the parties agree. Odoo Sign generates a signature certificate with a SHA-256 hash of the original document, IP address, exact date and time of each action and, optionally, an OTP code via SMS for reinforced authentication. For documents that require an ICP-Brasil qualified digital signature, KMEE configures integration with certified providers.

What is the difference between simple, advanced and ICP-Brasil qualified electronic signature?

Law 14.063/2020 classifies three levels: Simple (any electronic means that allows identifying the signer), Advanced (linked to the signer and with reinforced authentication, such as OTP by SMS or biometrics) and Qualified (ICP-Brasil digital certificate issued by a Certifying Authority accredited by the ITI). For the vast majority of private contracts, the simple or advanced signature in Odoo Sign is sufficient. For acts with the Public Administration or documents that the law requires to use ICP-Brasil, KMEE integrates Odoo with providers such as Certisign, Serasa or SafeID.

Is it possible to sign Odoo documents without having an account in the system?

Yes. The external signer (customer, supplier, partner) does not need an account in Odoo. They receive an email with a secure, unique link to access the document, fill out the required fields and sign, all through the browser, with no app installation. Identity is validated by the access email and, optionally, by an OTP code sent by SMS or WhatsApp.

How does Odoo Sign compare to DocuSign and D4Sign for Brazilian companies?

Odoo Sign has the advantage of being native to the ERP, eliminating the need for integration and reducing the total cost of ownership. Documents are generated from Odoo data with no manual export, and signed documents return automatically to the ERP. For companies that already use DocuSign or D4Sign and need to keep it for compliance, KMEE can configure the integration of Odoo with those platforms. For new implementations, Odoo Sign covers 95 percent of the use cases of mid-sized companies at a lower cost.

How long should I keep electronically signed contracts in Brazil?

Contract retention periods in Brazil vary by type: labor documents for at least 5 years (Federal Constitution, art. 7, XXIX) and occupational health records for 20 years after termination (NR-7); commercial contracts in general for 10 years (the general statute of limitations under the Civil Code, art. 205); real estate contracts for 10 years; fiscal documents for 5 years.
